COTTORA 1st Annual Swap Meet
15 July 06
10am - 6pm

location: Jefferson County Fairgrounds (Golden, CO)

live music, food, raffles, blah blah blah

we are in the planning stages now as we have set the location and date. If you wanna step up and help, let us know. We are planning to have a couple of organizational meetings and will post dates and times here. We're gonna need some volunteer's so, put down that dirty magazine :eek: and pull ur pants up tight and support this event!!!

Apparently, according to Jeffco, the guy has to be present and uniformed at the event. Sounds excessive to me, but I guess those 4H events get a little out of hand, lol. And you don't even want to see an Alpaca when it's drunk.

Yes I 'm a police officer.... And you’re right you can rent out a police officer and if I did come I could only be an off duty. If you are looking for that type security we'd have to look into hiring a security company.

no an officer has to be present at all times if we want to serve booze.... no biggie but.... if we dont have an officer there one person showing up with a beer all on their own can ruin it for us all. so its pretty much an all or nothing type of thing

anyone have personally or have a hookup that would let use some handheld radio's? will probably need 6 for the folks running the show to be able to communicate with each other. Free is always the best unless it's a std or a hand grenade!

Molly, when I went around asking for raffle donations, I just took a preliminary draft of the flyer and showed it to folks. It says everything on it. Maybe you and me can visit John's 4X4 Center when I'm in Boulder Weds...who could say no to us?!

i have the flyer hosted on the net so that you can print up your own copies everyone and distribute them to whoever you want to come. the more people the better! we aren't limiting this to toyotas either because well... there are some guys in the club that have jeep parts and stuff on them too. so pass them out to your 4x4 friends or just your friends in general that want to come have a good time. i am going to put together a page that you can refer to that will have all the contributing sponsors on it as well

So, I spent a bit of time thinking about the whole swap meet process last night, and here's what I came up with...

We'll need some sort of entry station to collect money, and at least two volunteers to take shifts there. (We should probably block off the other entrance) We should probably have some sort of windshield ticket or mirror hanger to designate people who bought good parking spots up front. No problem, we can make those easily enough.

Those little signs that stick into the ground to direct people the right way. Can we make those ourselves? I can probably find some old ones at work from our hole sponsors at the annual golf tourney and we'll just relabel 'em!

We'll need some volunteers on the cooking front, to cook, take money, etc. (and we need volunteer grills too, probably a couple of them...propane) I've got some big ideas for the cooking. It occurred to me that we could ask a lot more money for a bratwurst if there was Kraut, peppers and onions to put on it (3, 4, even $5?). I've got plenty of ideas for food prep...Remember, food and raffle are gonna be our moneymakers!

We're gonna need to designate a table for the raffle goods, and at least one person to take money and distribute tickets. We can rent one of those raffle drums for $20, but I think that's an unnecessary cost. We'll just get a roll of raffle stubs at Sam's Club, then throw 'em in some sort of receptacle to draw from.
*We're gonna be receiving cash and making change in at least three different locations. This hints to me that we need cash boxes and trustworthy volunteers.

The truck wash will need many volunteers, as well as the requisite sponges, hoses, chamoisssssses, etc. I'm sure we all have that stuff to bring....with our names well written on it so it makes it back into the right hands...lol. How much are we gonna charge for truck wash?

Parking: The front row will be pay spots (what'd we decide on...$5?) And any professional vendors like Tanner or Armorology can set up there as well.

Volunteers get a free meal (but don't eat free all day long). We can divide most jobs into 3 (?) shifts I'm guessing. And for the sake of organization, I think we should have one main director of the whole event....I nominate Will! lol, or I'll do it.

I know this is a lot of BS so far ahead of the event, but I hate the awkwardness that comes with unpreparedness. When are we going to meet to discuss this swapmeet?

u read my mind...i say $5 for the wash..trying to get the bud light girls to do the washing for us. hopefully it pans out. did u get my 1st list of items we need to have? i also have taken the liberty to get a club banner. it is a 3' by 6' white banner that has www.COTTORA.org

obviously in our font and colored. i pick it up friday. it should be cool. WE NEED VOLUNTEERS!!!!!! Vinny(vic_stuff) has stepped up but we definately need a bunch more. i'm with u man...i know this planning may be a little pre-mature, but i cant stand to think of trying to put this together at the last minute and having it turn out decent. let's go with may 12 for a meeting. friday night and i'll buy the first round. what say ye?????

I can probably enlist volunteer help from a few friends that are not affiliated with the club, but it's a good idea if we keep money handling limited to members.
On a side note, I tried to tip the Budweiser girl who was getting me drunk for free at the bar last weekend, and she wouldn't take it! I was so drunkenly offended...

Yeah, she was far too hot to be bothered by trivial social qualities like politeness...lol. Maybe it had something to do with the fact that I tried to stick the 5 dollar bill in her ample cleavage...should I not have done that? I mean, if anybody had told me that sort of thing was frowned upon...

So, assuming we all spend the next 2, 1/2 months littering this state with flyers (I've already begun!), and the weather July 15 is perfect, how many attendees do we expect? I wanna hear from everybody on this.
Keep in mind we'll be promoting this event from Cheyenne, WY to Pueblo, CO and everywhere in between (not to mention the entire world via the internet). Plus, our event will be posted on the JeffCo fairground website and on their big sign. I'm guessing we may exceed 100 people (there will probably be 50 people from COTTORA alone, including their families and friends). I'm gonna guess we should plan for 150 to 200 people (shhhhh, don't tell JeffCo).

Awesome Guapo, we could use the help.
If you check out our volunteer sign-up page, you'll notice that we've only got a handful of heroes so far.
If you know the guys at FROR and you can give 'em a call that'd be awesome. I live in FC and could probably make it up there sometime to Red Feather. Even though we ran out of room on the flyer, we could still accept donated items for the raffle.
In fact, I think I got a 10% off service coupon donated by the guys at Japanese Auto Service in Wheatridge, all TTORA folks from back in the day, Russ, Steve, Anthony, etc.
The CARQUEST wheel is in motion, I'm pimping this event with all the outside sales reps, at the risk of getting in trouble (I can't promote anything but CQ Filters when I'm wearing the uniform). It's getting a good response.
A few more ideas if anybody wants to make some swap-meet sales calls...Poison Spider, Slee, Gen 3 Motorsports, and I still want to approach John's 4X4 in Boulder but haven't made it there yet.

We're offering them advertising. When we raffle off their donated products using the band's PA system, we'll announce who donated it, and add a quick plug. You can offer them a free up-front vendor parking spot too, to set up their shizzy.

Couple of things. Water is typically very popular at these events, even though there's a drinking fountain. We should have plenty bottled water. And I'm in the process of getting some lawn signs....don't ask...

yep they have water and 110v power with all the RV hookups. as long as there is a spot open then we can use that.

got an email from Brain and a guy named Brady. Brady is with the Toyota FJ Cruiser Trail Teams (FJCTT). The FJ Cruiser Trail Teams are visiting off-road events all across the nation to allow off-road enthusiasts to see the FJC in action and even drive it on the trails. He will be out at our event showcasing the 07 FJ and possibly getting out on one of the trails on the following Sunday to show folks the capabilities of the new FJ. FAWKING SWEET!

ok folks...we got a month left! Rich is gonna do the grocery shopping for us. we're gonna need propane grills. sure.... we are hosting a swap meet for our state. more or less its an open forum for people from all aspects of the offroading community to come and sell their stuff. jeep parts, toy parts, zuki parts everything and anything is fine to sell. we have sponsors that have graciously donated items to giveaway for a raffle and we will have live music and food along with plenty of space for people to just sit out and enjoy the day. im glad you found us but this is something that not only you but your friends can come to

Guys, I'm in a bind here and I need some help. I'll be out of town all weekend and into next thursday for a store changeover in Delta, CO.
Molly, I left you a message saying that I need help picking up the raffle donation from All-Phase in Longmont. It's a Tacoma skidplate, so it's rather large. I just won't be able to do it until possibly next Friday. Sorry for the short notice.
This also means I won't be able to meet with you guys unless it's tomorrow (Friday evening) or the two days prior to the actual swap meet. So don't let me stop you from meeting up. I'll stay up on the details via the forum and phone.

AS far as the meeting goes, I've got the following topics to be discussed, even though I won't be there:

-The food menu. We need to decide on prices for food. I think we should offer a plate for $5 including a burger OR bratwurst, a drink, a bag of chips. But if we do this, people will inevitably want to order a la carte. Either we tell them no or we set prices that will allow us to preserve our profit margins, i.e.a buck a soda. We'll need a printed menu of food prices for the table.

-I have some printed-up parking passes that mention the raffle and the rules of the park on them. (Raffle tickets are $3, or 2 for $5, right?) I figure we'll draw winners throughout the day, maybe hourly or so. I'll try to e-mail you guys the parking pass format so you can make any changes...I'm not on my own computer right now.

-Anybody have traffic cones or tape?

-Everybody should bring $20 in ones or so to facilitate making change for entry fees, food fees, raffle fees, strippers, not to mention buying and selling stuff.

-We'll need to make sure we have all the vendor info for when we give away prizes: company name, address, phone number, website, contact name, etc. Business cards will be great.

-Anybody got a crock pot for the brats? Simmering in beer, they plump up real nice looking. You picking up brats Will?

I know this is a lot of misc crap, and I apologize for not making the meeting, but I'd like to at least get together with a few of you the night before the event, maybe do some last minute shopping and problem-solving.
